How to Choose School Management Software: A Headteacher's Checklist
A practical, feature-by-feature checklist for choosing school management software — the questions that actually separate good systems from expensive disappointments.
Choosing school management software feels like choosing a new office: every option looks fine in the brochure, and the real problems only appear after you move in. This checklist is built for headteachers and school administrators who want to avoid that.
Start with your slowest process
Before looking at any vendor, list the three tasks that eat the most staff time today. For most schools it is some combination of: collecting and reconciling fees, compiling term report cards, and chasing attendance records at term end. Your shortlist should be judged primarily on those three, because a system that fixes your worst process pays for itself.
The core checklist
Run every candidate through these:
- Student records. Can you register a student, keep guardians, and find a record in seconds? Is promotion/graduation handled?
- Fees and finance. Can you record cash, bank, and mobile-money payments? Does every student get a live balance ledger? Can parents see balances? Is the financial trail audit-proof?
- Attendance. How fast is marking a class? Does the record survive to term end and feed report cards?
- Gradebook and report cards. Is mark entry fast (keyboard-friendly grids beat dropdowns)? Do totals, averages, and rankings calculate themselves? Does the output match the format your exam board or curriculum expects — and print cleanly?
- Parent communication. Can parents see report cards and balances without training? Is sign-in simple enough for non-technical guardians?
- Roles and security. Does a teacher only see their classes? Does the bursar only see finance? Is every sensitive action logged?
- Exports. Can you pull data back out — class reports, fee statements, CSV — without vendor help?
The questions brochures dodge
- What does it cost in total for a year? (See our cost breakdown.)
- How much data does it need, and how does it behave on slow connections? For many schools this decides whether staff actually use it.
- Who supports it, in which time zone, in what language? Local support is a feature.
- What happens to my data if I leave? You should be able to export everything.
- How long does staff onboarding take? Ask for a demo where your team clicks through your workflows — fees, report cards — not the polished marketing tour.
The decision
Shortlist three, run your real workflows through each with your own staff watching, and price the full year. The system that survives that process is the one your office will still be using next term — and the one that stops being a cost and starts saving you a week of work every term.
