Free vs Paid School Software: Honest Trade-offs

Every school software search starts the same way: find the free option, try it, see if it’s good enough. That instinct is right — trying before buying is how you avoid expensive mistakes. But “free” comes in several very different flavours, and one of them is a trap.

The three kinds of free

1. The free trial. A time-limited, fully working version. The purpose is to let you evaluate — this is the good kind of free, and you should use it aggressively. Run your real workflows (fees, report cards, attendance) in the trial, with your own staff, before you commit to anything.

2. The free tier. A permanently free version of a product, usually with limits: student count, features, or users. Genuinely useful for very small schools and for evaluating the feel of a product. The risk is outgrowing it: the moment you hit the limit, you’re either paying or starting over — and migrating data twice is a real cost.

3. Open source / “free forever”. Free to license, but you take on hosting, security patches, backups, and support — costs that often quietly match a paid subscription once you include a human to run it. (We covered this in our open-source post.)

The real price of “free”

The licence fee is the smallest cost of school software. The bigger costs are:

• Your staff’s time. A system that’s free but slow, clunky, or missing a feature (say, UNEB-format report cards) burns hours every single week. Those hours have a price.
• Re-entry and re-migration. When the free tool runs out of room or a missing feature forces a switch, someone manually re-enters months of fees and marks. That work is rarely counted in the “free” decision.
• Abandoned systems. The most expensive software is the system nobody uses. A free tool that’s painful gets abandoned — and then the school has paid nothing and gained nothing.

When free genuinely wins

• You’re testing and comparing options (use those trials).
• Your needs are tiny and stable — a very small school with a basic register.
• You have real technical capacity and a long horizon (open source, managed properly).

When paying is the bargain

• The system removes a specific, expensive process — e.g., a school that used to spend two staff-days compiling report cards now does it in an hour. That’s worth real money every term.
• Support and training are included, so your team doesn’t get stuck.
• The price is predictable and the vendor is accountable for keeping your data safe.

The honest framing: don’t ask “is there a free option?” Ask “what does this software save us per term, and what does the free path cost in time and risk?” Usually the answer decides the budget — and it’s rarely the licence fee that tips it.
